Executive Assistant, Theatrical Marketing
Amazon MGM Studios is looking for a smart, enthusiastic, hard-working, and creative candidate to join the Marketing team. The Marketing Assistant will be responsible for a high volume of tasks including complex calendar management and detailed travel itineraries. The position will report to the Head of Marketing and will also support various functions of the marketing team. The Marketing Assistant will also be working closely with other teams within the company, including awards, publicity, legal, and finance.The ideal candidate will be an experienced, detail-oriented, organized planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility. A positive attitude despite the pressures of a fast-paced environment is essential. The candidate will possess the ability to succeed with minimal guidance or supervision, be skilled at anticipating problems, managing multiple priorities and global scheduling needs. Job responsibilities include:• Developing day-to-day schedule and prioritization of activities, proactively identifying and resolving scheduling conflicts• Proactively drive team activities such as staff meeting agendas• Manage domestic & international travel itineraries and expenses• All administrative support functions, including organizing documents, meeting preparation, supply ordering, purchase orders as needed• Track and drive completion of key deliverables and follow up on outstanding items• Cultivate partnerships and support events• Additional appropriate special projects as they align with the ideal candidate's background and qualificationsBasic qualifications• BA/BS Degree• 3+ years' administrative experience in a fast-paced, corporate environment• Experienced with Outlook, SharePoint, Microsoft Word and Excel• Entertainment industry experiencePreferred qualifications• High attention to detail and proven ability to manage multiple, competing priorities simultaneously• Excellent organization, multi-tasking and communications skills• Strong motivation and ability to take initiative with little direction• Familiarity with the entertainment industry• Superior verbal and written communication skills• Strong organizational and communication skills, team orientated philosophy and problem-solving skills• Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines• Impeccable attention to detail• High levels of integrity and discretion• Ability to communicate effectively with a variety of groups such as senior management, peers and outside vendors• Highly motivated, organized individual who is able to work effectively with minimal supervision• Ability to maintain composure and task switch efficiently in a rapidly changing environment• Meets/exceeds Amazon’s leadership principles requirements for this role• Meets/exceeds Amazon’s functional/technical depth and complexity for this roleKey job responsibilities-scheduling and calendar management including invites to attendees/coordination with attendees.-maintain expense reports and travel planning/coordination-help prepare for meetings and presentations including building of agendas and corresponding presentation materials.A day in the lifeDay involves maintaining a constantly evolving and changing schedule and making that the right participants are included and invited as well as corresponding agendas and key presentation materials. Learning and prioritizing meetings and attendees are key. Some days will involve travel coordination as well as expense and other admin responsibilities. Will also provide support in building out marketing decks and meeting agendas that will be gathered from other team members.
